Cancellation & Rescheduling Policy
for Medics Camp Residency Birthday Party

This is required at the time of booking to reserve your residency date and time. Deposits are non-refundable under all circumstances. However, deposits may be transferred to another available residency date or time slot.

We understand that plans can change. Families may reschedule their residency to another available date or time without losing their deposit, provided sufficient notice is given.

Rescheduling Requests:

Must be submitted in writing by email to birthdays@medicscamp.com
Are subject to availability
Must remain within the current birthday residency season/calendar year

Cancellation Policy

More Than 30 Days Before Your Confirmed Schedule

Families who cancel more than 30 days before their scheduled residency may receive a refund of payments made beyond the non-refundable deposit.

The $50 deposit remains non-refundable but is transferable to another date.

14–30 Days Before Your Confirmed Schedule

Eligible for 50% refund of payments made beyond the deposit. This policy reflects staffing commitments and pre-purchased residency materials.

Less Than 14 Days Before Your Confirmed Schedule

Cancellations made less than 14 days before the residency are non-refundable.

At this stage:

instructors have been scheduled
materials and medical kits have been prepared
the residency slot can no longer realistically be rebooked

Whenever possible, we recommend rescheduling instead of cancelling.

Same-Day Illness or Emergencies

We understand unexpected illnesses and emergencies can occur. Whenever possible, Medics Camp will make reasonable efforts to reschedule the residency to another available date.

Rescheduling accommodations for illness or emergency situations are handled case-by-case and subject to instructor and calendar availability.

Safety always comes first. If severe weather or unsafe travel conditions prevent Medics Camp from safely operating the residency, families will be offered a full rescheduling option or a full refund, including deposit, if rescheduling is not possible.
